The system records who changed what and when. If a figure doesn't add up, it can be traced instead of argued about.

Server snapshot
Each day we take a full snapshot of the server and store it on a server independent of yours. If your server failed completely, we restore it to the previous day's state within 4 hours of you telling us, during support hours and at no cost.
Daily · Separate infrastructure
The honest limit: the daily snapshot keeps a single restore point, because the newest overwrites the previous one. In a total server loss you could lose up to 24 hours of data entry. The 4 hours are how long the restore takes; the 24 hours are the work that can be lost. They are not the same figure. If you need several days of history, get in touch and we'll configure it.

The price doesn't change with how many people use it. What can vary is the initial setup time, depending on how organised the information you want to migrate is — we review that with you before starting.
What you need on your side.
- Nothing to install: it runs in the browser.
- A stable internet connection. It isn't bandwidth-hungry.
- Nothing to open on your firewall.
- The server runs on Linux — that part we administer.
- Someone at the firm who can decide how you want to work. That's the single biggest factor in whether an implementation succeeds.
The hard part of an ERP isn't the software, it's agreeing how the firm will work. If there's nobody who can make those decisions, tell us before you buy.
Frequently asked questions
What exactly am I buying?
A dedicated ERPNext instance, hosted and administered by us, configured around how an architecture practice works. ERPNext is open-source software; we don't develop or license it, we operate it for you.
Do I have to migrate everything at once?
No, and we don't recommend it. The usual path is projects and hours first, then purchasing and invoicing once the team has settled in. We help with the initial load.
Does it work for invoicing in Mexico?
Yes, it's configured for Mexican tax requirements. If you already use an invoicing system and would rather keep it, that works too — tell us how you do it today.
Can it be adapted to how we work?
Yes, which is part of why we use ERPNext. Fields, workflows and reports can be adjusted. Deeper changes are quoted separately, and we'll tell you plainly when they aren't worth it.
Do you charge per user?
No. The price is per instance, no matter how many people at the firm use it.
Who owns the data?
You do. It's your instance and your data. If you ever decide to leave, we hand over a full backup of the database and files.
What happens if I stop paying?
We send reminders before the due date. If we don't receive payment, the server is suspended. Download your data before that date; if you didn't, write to us and we'll grant a grace period of up to 10 calendar days. Deletion happens from the tenth day onward. We keep the snapshot from the last active day for 30 days.
